What Decides the Cost of Custom Software? Seven Factors to Understand
Two projects with the same name can have very different prices. Understanding what drives cost helps you write a better brief and compare quotes fairly.
The seven cost drivers
Every estimate is built from these factors.
- Scope: the number of modules, user roles and screens
- Platforms: web only, or web plus Android and iOS
- Design: standard components or a fully custom interface
- Integrations: payment gateways, SMS, WhatsApp, accounting, third-party APIs
- Data migration from existing systems
- Security, compliance and performance requirements
- Ongoing hosting, support and updates
How to get an accurate quote
Write down who will use the system, the five most important tasks it must do and any systems it must connect to. A short discovery call or workshop usually removes most guesswork.
Start with a minimum viable product
Build the features that deliver value first, launch, collect feedback and then add more. This lowers risk and spreads the cost over time.
Ownership matters
Confirm in writing that you own the source code and data, and ask how handover and documentation will work. This protects you if you change vendors later.
